
Start with the venue—not a generic certificate request
Ask the property contact whether an insurance certificate is required for the event and request the requirement in writing. Parks, schools, churches, companies, HOAs, colleges, and managed venues can ask for different names, addresses, wording, coverage evidence, submission methods, and review deadlines.
Provide the exact event date, location, venue contact, and requesting legal entity. A nickname, campus name, or informal department name may not be enough for the document the venue expects.
- Exact legal entity name and mailing address
- Event name, date, and setup address
- Certificate holder wording and submission email or portal
- Any requested additional-insured wording or endorsement
- Required coverage evidence and venue review deadline
- Venue contact who can answer document questions

A certificate is evidence—not a promise to change coverage
A certificate summarizes policy information for the recipient. The exact policy and insurer-issued endorsements control coverage. A venue request does not itself change the policy, and a certificate should not be treated as a substitute for the venue reading and verifying the information it requires.
Georgia's Office of the Commissioner of Insurance advises verifying certificate information rather than assuming that possession of a certificate proves continuing coverage. The venue or its risk manager should decide what verification it requires.

Additional insured is a separate question
If the venue asks to be named as an additional insured, request the exact legal name, address, required wording, event or contract reference, and any endorsement form it specifies. Do not assume that listing a certificate holder and granting additional-insured status are the same request.
Wow Inflatables must confirm whether the requested document or endorsement can be issued for the exact event. No older landing-page promise should be used as approval.

Ask early enough for venue review and corrections
Collect the venue requirements when choosing the event site, not on setup day. The venue may reject incomplete wording, request a correction, or require review through a separate department or portal.
This guide intentionally gives no universal turnaround time. The timing depends on complete venue information, the exact request, insurer or agent processing, and the venue's own review.
